Manage long overdue zines
Every couple of years, we should go through the list of long overdue zines (zines checked out 3+ years ago), check if any have been returned but not checked in, and mark zines as missing that we are sure will not be returned. Members are sent automated email reminders about their overdue zines, so you don't need to contact them manually. Here are the steps for checking long overdue zines.
- Ask Amanda or a website administrator to make you a spreadsheet of zines checked out from the oldest overdue to 3 years ago (or whichever time period you want to check). This data can be copied and pasted from the list of overdue zines, sorted by due date. But we need to move the data into a spreadsheet so we can sort the zines also by copy number.
- Make sure the spreadsheet is sorted by the copy number column, so that you can check for missing zines by Box Category.
- Find the box where the first set of checked out zines would be filed.
- Familiarize yourself with each missing zine in the category.
- Look at the title and open the zine record to check the Physical Description field and see what the zine looks like.
- For example, if the zine is quarter-page and has a green cover, you can look for a quarter-page zine with a green cover in the box.
- Go through the box and look for the checked out zines.
- If you find any of the zines, check them back in on the website (you can open the "Check In" link on the spreadsheet to quickly check the zine back in).
- When you finish the category, put an X or Yes in the Looked for Zine column on the spreadsheet next to each zine you looked for.
- If you did find the zine and checked it back in, make a note of that.
- Move on to the next box in the list and continue until you have checked all of the zines.
